Manage paid seats
Adjust your workspace's paid capacity and understand what is using it.
Before you start
You need an Owner, Admin, or Billing manager role.
Open the workspace and select Subscription.
Understand your seat count
Your subscription provides a total number of paid seats. Depending on your plan, this may include seats bundled with the plan and additional seats you purchase.
Seat usage can include:
- Active members with editing roles.
- Pending invitations to editing roles.
- Existing plugin license keys.
Billing managers and Viewers do not use paid editor seats.
An existing key can occupy capacity even when nobody is currently using it. Review keys and pending invitations when checking why your workspace is at capacity.
Subscription shows your total number of seats. To see what is using them, open Members: it lists each member with their role, each pending invitation, and each license key.

Add seats
- Open Subscription → Manage seats.
- Increase Extra Seats.
- Select Review Changes.
- Review New Total Seats and New Monthly Total.
- Select Confirm Changes.
Extra Seats counts the seats added to those included in your plan. The form shows your current total; the review shows the new total and price before anything changes. The prorated difference is charged straight away.

Complete any payment confirmation requested. Check the updated subscription before inviting more editors.
Reduce seats
First review Members and decide which access your team still needs.
You may need to remove an editor, change an appropriate role, revoke a pending invitation, or remove an unused license key.
Then:
- Open Subscription → Manage seats.
- Reduce Extra Seats.
- Select Review Changes.
- Review the new total and monthly price.
- Select Confirm Changes.
The review tells you when the change takes effect. A seat reduction is not refunded.
Studio blocks a reduction that would leave fewer seats than are already in use. Resolve the listed usage before trying again.

Freeing a seat and reducing purchased capacity are separate actions. Removing someone makes capacity available to another person; changing purchased seats changes your subscription.
Check that the change worked
Return to Subscription and review the seat count and any pending payment or change notice.
If the change is awaiting payment, follow the instructions shown before treating the extra capacity as available.
